What does a Accounts Payable and Fixed Assets Administrator do?

Under the direction of the Accounting Team Leader and in accordance with established policies and procedures, the incumbent is responsible for the daily management of Accounts Payable and Fixed Assets accounting for the Company. The incumbent interacts with all levels of the organization and acts as a liaison between the company and vendors investigating and handling complex payment issues and vendor complaints that may require immediate attention. Other duties include prepaid insurance, expenses and accruals.

Essential Functions

Accounts Payable Duties

  • Performs routine activities associated with the accounts payable process
  • Serves as liaison with the systems department for updates to BankTel the A/P system
  • Serves as liaison with all Accounts Payable approvers to ensure timely approvals
  • Ensures compliance with regulatory documentation requirements including obtaining completed W-9 forms, preparation of 1099-MISC forms and applicable reporting

Fixed Assets

  •  Manages deprecation software and ensures proper postings to General Ledger
  • Assists in preparing Fixed Asset Budget

Performs routine administrative activities

  • Responsible for the preparation of submission of various town and state documents
  • Prepares various routine reports
  • Responsible for the reconciliation of assigned general ledger and other accountsEnsures the teller line operates in compliance with company policies and procedures while serving as a role model and resource to others. Proficient with technology required for this position and serves as a trainer/mentor for other employees. May also provide qualified referrals to other business lines.

  • Prior knowledge of regulations within the financial services industry is preferred
  • Ability to adapt to change

Desired Job Experience

  • 3+ years of experience in a banking operations or accounting department is preferred
  • Experience in a professional, service focused and fast-paced environment

Desired Education

  • High school or General Education Diploma

Working Conditions/Minimum Physical Requirements

  • Physical surroundings are generally pleasant and comfortable with minimal exposure to injury or other hazards
  • Dexterity of hands and fingers to operate a computer and other office equipment
  • Lifting and moving of moderately heavy objects on occasion
  • Normally seated for extended periods of time
